The customer can explore a suitable portable product route or, where a fitted system appears suitable, submit a separate introduction request.

3. APPROPRIATE HANDOFF

Cool Bedroom directs the customer towards the relevant product journey or reviews a fitted-system enquiry and postcode before checking available partner coverage.

Fitted Cooling Supply-and-Install Partners

  • supply and professionally install monobloc air conditioning, split air conditioning or both;
  • operate within clearly defined postcode areas;
  • provide appropriate property assessments and clear written quotations;
  • take responsibility for technical suitability, permissions, installation and compliance;
  • hold relevant qualifications, certifications and insurance for the work undertaken;
  • offer suitable workmanship warranties and customer aftercare;
  • communicate reliably with customers and Cool Bedroom; and
  • are willing to provide proportionate evidence of relevant business credentials.

A business does not need to offer both monobloc and split air conditioning. We may work with different specialists for each cooling route.

Portable Air Conditioning Retailers & Suppliers

Cool Bedroom’s Portable AC Finder helps customers narrow down the type and capacity of portable air conditioner to compare. We are interested in working with UK retailers and suppliers whose products can form part of that recommendation journey.

  • We work with partners to select suitable products from their range for the recommendation categories used by Cool Bedroom.
  • Featured products can be presented with clear product information and a tracked retailer or affiliate link.
  • Customers can follow the link to the partner’s website to check current price and availability and complete the purchase directly with the retailer.
  • Retailers remain responsible for product information, pricing, stock, checkout, delivery, returns, warranties and customer service.
  • Commercial tracking and commission arrangements are agreed directly with the retailer or supplier.

To support product setup, we will normally need accurate product specifications, approved product imagery or media assets, reliable destination links and a suitable contact for product or availability updates.

This creates a direct route from Cool Bedroom’s independent guidance to suitable portable products available from our retail partners.

How the Fitted-System Referral Process Works

  1. The customer receives guidance. The Cool Bedroom Finder and guides help the customer understand which cooling route appears suitable.
  2. The customer requests an introduction. They provide their postcode, property information and cooling requirements.
  3. Cool Bedroom reviews the enquiry. We check the recommended route, location and available partner coverage.
  4. A suitable enquiry is introduced. The selected business receives the relevant customer information and contacts the customer directly.
  5. The business assesses and quotes. The partner remains responsible for the survey, technical advice, quotation and proposed installation.
  6. The outcome is recorded. The business provides a brief progress update so Cool Bedroom can administer the referral and any agreed completed-sale fee.

A Completed-Sale Referral Model for Fitted Systems

For supply-and-install partners, Cool Bedroom’s standard proposed model is based on an agreed referral fee when an introduction results in a completed sale.

  • No joining fee.
  • No monthly membership fee.
  • No charge merely for receiving an enquiry.
  • No referral fee for an enquiry that does not result in a completed sale.
  • No requirement to work exclusively with Cool Bedroom.

The exact referral structure, reporting process, payment arrangements and responsibilities of both parties will be agreed privately and confirmed in a written referral agreement before customer introductions begin.

Enquiry levels will naturally vary according to customer demand, cooling route and coverage area.

What Cool Bedroom Provides to Fitted-System Partners

What the Supply-and-Install Partner Remains Responsible For

The supply-and-install business contracts directly with the customer and remains responsible for:

  • contacting the customer promptly and professionally;
  • surveying and assessing the property;
  • confirming the required cooling capacity;
  • checking wall, outdoor-unit, pipework, drainage and electrical suitability;
  • identifying relevant permissions and compliance requirements;
  • providing the quotation, payment arrangements and contract terms;
  • supplying and installing the equipment;
  • site safety and workmanship;
  • holding and maintaining the qualifications, certifications and insurance required for its work;
  • warranties, servicing and aftercare; and
  • handling complaints or remedial work connected with its products or installation.

Cool Bedroom provides initial guidance and referral administration. It does not replace the partner’s professional survey, technical assessment or legal and regulatory responsibilities.

Straightforward Credential Checks for Fitted-System Partners

We want the onboarding process to protect customers without creating unnecessary administration for credible businesses.

Initial discussions will focus on the systems supplied, areas covered, relevant experience, brands, warranties and customer service.

If both sides wish to proceed, shortlisted businesses may be asked for a proportionate selection of relevant business credentials, such as:

  • current public-liability insurance;
  • valid F-Gas qualifications and company certification where applicable to the equipment and work undertaken;
  • other relevant company certification or registration;
  • electrical qualifications or subcontracting arrangements where applicable;
  • company and trading details;
  • warranty, aftercare and complaints information; and
  • reviews or examples of completed work.

Credential checks support our referral process but do not amount to a guarantee of a business’s future conduct, workmanship, financial position or the outcome of an installation.

Partners will be expected to tell Cool Bedroom if important credentials, insurance, coverage, ownership or trading information changes during the relationship.

We do not intend to request unnecessary personal identification, private financial information or intrusive documentation.

Fitted-System Coverage and Enquiry Allocation

Cool Bedroom intends to build suitable partner coverage gradually, beginning with selected areas and expanding as appropriate businesses are onboarded.

We may appoint a primary partner and, where practical, a backup partner for a particular cooling route and coverage area.

Partnership arrangements are normally non-exclusive. Enquiry levels will vary according to customer demand, cooling route and coverage area, and a partner is not required to accept every introduction.

Enquiries may be routed according to factors such as cooling route, postcode coverage, customer requirements, partner suitability, current availability, responsiveness and previous customer service.

Cool Bedroom may pause, redirect or stop introductions where there are concerns about availability, communication, credentials, customer service, compliance or suitability.

Customer Information and Data Protection

Customer information will only be shared after the customer has requested an introduction and provided the required acknowledgement within the introduction process.

The introduced business must use the information appropriately, securely and in accordance with applicable data-protection requirements.

Customer information received through Cool Bedroom must only be used to respond to and administer the relevant introduction unless the business has another lawful and transparent basis for any additional use.

The introduced business will normally act as an independent data controller for its own survey, quotation, installation, warranty and customer-service activities.

The written referral agreement will set out relevant data-sharing, confidentiality, security and record-keeping responsibilities.

Referral Progress Updates

The introduced business will be expected to provide brief and accurate progress updates, such as whether:

  • contact was made;
  • a survey or appointment was arranged;
  • a quotation was issued;
  • the customer declined or did not proceed; and
  • the enquiry resulted in a completed sale.

These updates allow Cool Bedroom to administer the customer journey, investigate problems, maintain referral records and calculate any agreed completed-sale referral fee.

Commercial Transparency

Customers are informed that Cool Bedroom may receive a referral fee when a fitted-system introduction results in a completed sale, and may receive commission from tracked or affiliate product links.
